EDI Guidelines

General Overview

Over the past few years Pacific Sunwear has experienced significant growth and has determined that there is a need to convert all suppliers from the manual processing of purchase orders, invoices and other related documents, to the electronic transmission of these documents. In the past, Electronic Data Interchange or EDI, has provided suppliers and retailers the means to exchange information accurately and efficiently, but at significant expense. However, we are pleased to announce that we have created, through the services of an outside service provider, alternatives to traditional EDI. These services will allow you to send and receive EDI transactions at a lower cost with easy to use technology.

By exchanging these transactions via EDI, we will eliminate the potential for lost orders and unneeded order changes, as well as improve the timeliness of invoices and shipment notification. This process will save Pacific Sunwear and our supplier partners significant time and money.

Pacific Sunwear has contracted with SPS Commerce, a company specializing in electronic information transfer, to facilitate this conversion to EDI. An SPS Commerce representative will be contacting you to guide you through this process and explain the following available options. Whichever method you select, the conversion is required within a specific time frame that you establish with SPS Commerce.

You will have two major options available to you to meet this new requirement of doing business with Pacific Sunwear.

Option A - You may purchase SPS Commerce services to exchange the various documents with Pacific Sunwear electronically through SPS either via the Internet, Fax, or manual processing.

Option B - You may elect to use your already established EDI system, convert to EDI yourself, or hire a third party Value Added Network (VAN) or service bureau, but you must test with and be certified by SPS Commerce by the end of your compliance week.

Pacific Sunwear promotes the use of standard EDI transmissions directly between Pacific Sunwear and you, the supplier, but understands the need for options. With the cooperation of SPS, Pacific Sunwear has created a highly competitive and reasonable solution for all merchandise vendors. Pacific Sunwear also believes that SPS is a single source solution that can offer vendors a menu of products and services that would best suit the industry's business needs.

Please be aware that regardless of the method you select, the conversion is required within 4 weeks of receiving your start-up package from SPS. If your company fails to comply by the end of its assigned compliance week, it will result in additional operating costs for your company and Pacific Sunwear.
